Data Sharing Agreement

1. Purpose

This Data Sharing Agreement (DSA) governs the sharing, access, and use of data through Green UPDate Knowledge Portal among:

  • researchers
  • academic units
  • partner institutions
  • authorized users

It ensures that data sharing is conducted responsibly, ethically, and in compliance with applicable laws and UP policies.

2. Scope of Data

Data covered under this Agreement may include:

a. Research Data

  • publications, datasets, and metadata

b. Environmental and Spatial Data

  • GIS layers, climate and biodiversity data
  • geospatial analytics outputs

c. Personal Data

  • expert profiles
  • contributor information

3. Principles of Data Sharing

All data sharing shall adhere to:

  • Legitimate Purpose – aligned with academic, research, and public service goals
  • Proportionality – only necessary data is shared
  • Transparency – data subjects are informed
  • Accountability – all parties are responsible for compliance

4. Roles and Responsibilities

Data Provider

  • ensures data accuracy and lawful collection
  • secures necessary consents (if applicable)
  • classifies data appropriately (personal, sensitive, public)

Data Recipient

  • uses data only for declared purposes
  • implements adequate security measures
  • does not re-share data without authorization

Platform Administrator

  • facilitates secure access and storage
  • enforces policies and access controls
  • monitors compliance

5. Personal Data Protection

Where personal data is involved:

  • processing must comply with the Data Privacy Act of 2012
  • data subjects’ rights must be respected
  • sensitive personal data must be handled with additional safeguards

Data sharing involving personal data must have:

  • a lawful basis
  • documented purpose
  • appropriate safeguards

6. Data Access and Restrictions

Failure to comply may result in:
